Terms for organisers.

What Revena does for your event, what it costs, and what we expect from you. No small print.

These terms apply between Revena and you as the organiser of a running or cycling event. You accept them when you set up your organisation, publish an event or ask for a listing. If you do that for a club, a non-profit or a company, you confirm that you're allowed to.

1. Who we are

Revena is a trading name of Marco Castermans, sole proprietorship. 3700 Tongeren-Borgloon, Belgium. Company number 1036.559.717, VAT BE 1036.559.717. hallo@revena.be.

2. What you get

Entries through Revena. Your event on Revena, with entries, price steps, groups, a waiting list, the desk and the scanner, volunteers, the results, emails in your brand style, returning participants per edition and payouts through Stripe or Mollie. Participants with a Revena pass collect points at your event.

Free listing. Your event appears under Events and on the map, with a link to your own entry page. A listing gives no points and no pass discount, and costs nothing.

We set it up for you. Send us last year's export and your logo, and we set up your event, your brand style and your first invitation. That costs nothing. You check everything before you publish.

You get help via hallo@revena.be, on working days within 24 hours. On the day of your event we can be reached on the number shown in your organiser dashboard.

3. What you do yourself

You organise the event, and your participants buy their place from you. So you take care of:

  • the permits, the insurance, safety and first aid;
  • rules for your event, including what happens in case of force majeure;
  • correct and complete information on your event page: date, place, distances, start times, prices and price steps, what's included;
  • your rules for transferring a ticket, changing distance and refunds. These appear on the event page before anyone orders;
  • stating whether or not you act as a business. Revena shows this to the participant, because it decides whether consumer law applies;
  • the rights to everything you upload: your logo, your photos and your texts.

If you cancel the event, you refund your participants everything they paid, service fee included, within 14 days. If the date or the place changes, a participant can choose between keeping their ticket or getting everything back.

  • The service fee is calculated on the normal ticket price, before the pass discount and the welcome discount. Revena charges nothing on extras, such as a T-shirt or a meal.
  • For each event you choose whether to pass on the service fee to the participant. If you do, it's included in the all-in price, and the participant sees it under the price.
  • If a single ticket is refunded, the service fee for that ticket is still due. If you cancel the whole event, Revena charges no service fee. Anything already deducted appears as a credit note on your next invoice.
  • You pay the payment costs of Stripe or Mollie directly to that partner, under your contract with them.

How you pay. For an online sale, your payment partner (Stripe or Mollie) deducts Revena's service fee from the payment straight away. The amounts from the desk appear on your monthly invoice, which you pay within 30 days. Every month you get one invoice with everything on it: via Peppol if you have a VAT number, otherwise as a PDF by email.

Prices only change for the future, and you hear about it at least 30 days in advance. An event that's already live keeps the price from the moment you published it, until the end of that edition.

5. The money, Stripe and Mollie

Payments go through Stripe Payments Europe Ltd. You connect your own Stripe account to Revena; if you already have a Mollie account, you can connect Mollie B.V. instead. Your participants' money goes straight to your account with that partner and from there to your bank account, following your payout schedule. Daily on working days is possible. Revena never touches the money.

The terms of Stripe or Mollie apply to your account. They may ask who you are and who represents your club or non-profit. Refunds and disputed payments go through your account with that partner.

6. The Revena pass and the discount

Every event with entries through Revena gives pass holders the discount from the Rules of the Revena pass:

RankDiscount on the ticket

Bronze5%
Silver10%
Gold15%
Elite20%

    Discount on the ticket15%
  • Elite
    Discount on the ticket20%
  • At most €10 per ticket.
  • Only on the pass holder's own ticket, one per event, not on extras.
  • You don't choose who gets a discount. That way a participant knows where they stand everywhere.
  • You give the discount, because it comes off your ticket price. In return, the pass brings participants to your event who have never been before. In your organiser dashboard you see per edition what the discount cost and how many new participants it brought.
  • You can add a welcome discount of your own: €2, €3 or €5 for anyone who has never taken part with you. All discounts together are at most 25% of the ticket. Revena keeps an eye on that limit itself.
  • If your event has a maximum number of places, Gold and Elite may sign up 48 hours earlier. You choose when that early entry opens.
  • If someone wins a free entry in the rankings and chooses your event, Revena pays you the full price.

The discounts never change during a season. Changes for the next season are online by 1 November at the latest and you get them by email.

7. Your participants and their data

You are the controller of your participants' data, as far as their participation in your event is concerned. Revena processes it on your behalf. The data processing agreement is part of these terms.

Revena is itself the controller for the Revena pass, the points, the rankings, the community, and the order as a service to the participant. You don't see your participants' points, other events or community, except the rank needed to show the discount.

You only use your participants' data for your event, and to invite them to a next edition or another event of yours. You don't sell it and you don't pass it on, except to people helping you with the event, such as the timing company.

You may not ask questions about health. Revena doesn't allow it either.

Importing an export from a previous system is allowed, if you collected that data lawfully yourself for your own event. You are responsible for that.

What happens to your data if you stop. You can always export your participants to Excel. If you stop, you have 30 days to do so, and we delete everything within 60 days after that, except what accounting law lets us keep.

Access to data. You have access to everything about your own events: entries, orders, participants, emails, scans, results and the pass figures. Revena uses figures across all events, without names, to improve Revena. We don't share those figures with other organisers.

8. Emails

  • You only send emails using the blocks in Revena, in your brand style.
  • At the bottom of every email it says in small print "Entries through Revena". That can't be removed.
  • You may email your participants about their participation, and send invitations to anyone who took part with you in the last three years. Every invitation has a link to unsubscribe. Anyone who unsubscribes gets no more invitations from you. Revena keeps track of that.
  • What's in your emails is your responsibility. No advertising for other companies, nothing misleading.

9. Desk and scanner

Volunteers at the desk and the scanner log in with a PIN you create in the organiser dashboard. Only give it to people who need it, and change it after the event. The cash the desk takes is yours: Revena only sees it to count it.

10. How events are shown

Under Events and on the map, events appear by date, with the filters the visitor chooses: sport, type, distance, province and date. A participant who's logged in can also choose "with a discount for me" and "where friends are going". On the map a dot is bigger when there are more entries. A listing appears too, with a different look, unless the visitor hides listings.

You can't buy a better position. Revena doesn't treat its own events differently from yours, because Revena doesn't organise events itself.

11. What Revena promises

We do our best to keep Revena working at all times, and certainly on the day of your event. The scanner and the desk also work without a network connection. We plan maintenance outside busy times and never at the weekend unless we have to.

Revena is liable for its own mistakes, up to the amount of service fees you paid in the last 12 months. Revena isn't liable for indirect loss, such as missed entries, or for what Stripe, Mollie, your internet connection or your devices do. Those limits don't apply in case of intent or gross negligence.

You are responsible for your event and for what you upload. If Revena receives a complaint or a claim because of something you did or uploaded, you take it over.

12. Stopping, suspending and closing

You can stop at any time. There's no contract and no notice period. Entries that have already been paid, you honour or refund.

Revena can suspend or close an event or an account if you break these terms, for example with misleading information, fraud or illegal content. Unless it's urgent to protect participants or others, you first get an email with the reason and time to fix it. If Revena wants to stop working with you altogether, you hear about it at least 30 days in advance, with the reason. You can always object via hallo@revena.be. We reply within 7 working days.

13. If the terms change

You get a new version at least 15 days before it applies, by email. If you don't agree, you can stop before that date. For prices it's 30 days, and for the pass discounts it's the new season.

14. Law and courts

Belgian law applies to these terms. If we can't sort things out together, the Enterprise Court of Antwerp, Tongeren division (ondernemingsrechtbank Antwerpen, afdeling Tongeren) has jurisdiction. If you're not a business, you can also go to the court of your own place of residence or registered office.

These terms exist in Dutch, French and English. If they differ, the Dutch version applies.
