With your federation
If your club is a recreational club with Cycling Vlaanderen, you apply for your ride through the club portal (clubportaal). That works for a road ride, an MTB ride or a gravel ride. Your club is an informal association (feitelijke vereniging) or a non-profit (vzw), and has at least two members with a recreational club membership.
Apply preferably before 1 October. A provincial calendar committee checks that no other rides take place nearby on the same day, and you normally get an answer before 1 November. Read it at Cycling Vlaanderen (in Dutch).
If you are with another federation, ask them how to get a ride on the calendar.
Permissions for your route
You apply for the permissions of the municipalities, the Agency for Nature and Forests and the Agency for Roads and Traffic through the Sport Vlaanderen e-loket, even if you put up no signs and only use a GPX file. Your application must be complete and approved at least 42 days before the ride. Since 1 September 2026 you log in with a digital key, such as itsme or your eID. Read it at Sport Vlaanderen (in Dutch).
Also ask your municipality what conditions it sets for the start, parking and signposting.
Route, signs and food stops
- Offer a few distances, from a short loop to a long ride.
- Put the food stops where your volunteers can stand safely, and list them in the practical information.
- Put the GPX file of your route on your event page, so participants can load it onto their bike computer.
- Put up the signs shortly before the ride, and take them down again quickly.
Entries: in advance and at the start
Participants sign up online in advance, or at the start. Online, you can use price steps and a member price for members of your club or federation. At the start, the cash desk runs on your own phone or tablet, even without a network, and those who signed up in advance have their QR code scanned. That way you see, per distance, who set off. Entries for your sportive.
Volunteers
You need people at registration, at the food stops and at junctions. With Revena you create shifts that volunteers sign up for themselves, and a volunteer with a Revena pass earns points for a confirmed shift.
After the ride
A sportive has no results. The day after, Revena sends a thank-you email to everyone who was scanned. In your figures you see per distance how many people checked in, and who came back from last year. To start on your next edition: bring participants back with emails.
